Terms of Service

• "Service" means Fuel Relay: the mobile app, the web dashboard, and the APIs behind them.
• "We", "us", "our" means [COMPANY_LEGAL_NAME], the operator of the Service, located at [BUSINESS_ADDRESS].
• "Customer" means the company or person that creates an admin account and, where applicable, pays for the Service.
• "Admin" means a user of the Customer's web dashboard account.
• "Fueler" means a mobile app user who logs fueling entries under the Customer's organization using an access code the Customer issues.
• "Customer Data" means all data the Customer and its Fuelers submit to the Service, including fueling entries, names, truck numbers, and reports derived from them.

You must provide accurate information when creating an account and keep it current. You are responsible for everything done under your account and your organization's access codes.

• Keep your password private and use a strong, unique one. You are responsible for activity under your account.
• Fueler access codes are credentials. Issue them only to people you authorize, and deactivate them from the dashboard when someone leaves.
• Tell us promptly at support@fuelrelay.net if you believe an account or code has been compromised.

Use the Service lawfully and as intended. You agree not to:

• Break the law, or use the Service to store or transmit unlawful material.
• Probe, scan, or breach the Service's security, except good-faith research under our responsible disclosure policy.
• Reverse engineer, copy, or resell the Service.
• Access another organization's data or attempt to.
• Overload the Service with automated traffic or scraping.
• Misrepresent fueling records for fraudulent purposes.

We may suspend accounts that put the Service or other customers at risk.

• The admin dashboard is free. Each fueler seat costs $120 per month, or $1440 per year, in USD.
• There is no free trial. Billing starts when you add your first fueler seat and is handled by Stripe. We never see or store card numbers.
• Seats are prorated. Add a fueler mid-cycle and you pay for the remainder of the cycle; remove one and the credit applies to your next invoice.
• If a payment fails we will notify you and retry. Continued non-payment can lead to suspension and then termination under section 5.
• Prices can change. We will give at least 30 days' notice by email before a price change takes effect, and it applies from your next billing cycle.
• Prices exclude taxes; you are responsible for any that apply.

• You can cancel anytime from the dashboard. Cancellation takes effect at the end of the current billing period; we do not refund partial periods except where the law requires.
• After cancellation your data remains exportable for 90 days. It is then scheduled for deletion as described in our Privacy Policy; starting a new subscription before that date clears the schedule.
• If you delete your account from the dashboard, or ask us to, your organization's data is scheduled for permanent deletion 30 days later. This also cancels your subscription at the end of the current billing period. Signing in before that date cancels the deletion; it does not restart the cancelled subscription, which you can do from Settings › Billing. Audit log entries are anonymized and retained as security evidence.
• We may suspend or terminate your account for material breach of these terms or for non-payment, with notice and, where practical, a chance to fix the problem first.
• Sections that by their nature survive termination (data ownership, disclaimers, liability limits, governing law) survive it.

Customer Data belongs to the Customer. You grant us a limited license to host, process, and display it, only as needed to provide the Service. You can export your data at any time from the dashboard. When your data is deleted under these terms, that license ends.

We own the Service: the software, design, and the Fuel Relay name and marks. These terms give you a right to use the Service, not any ownership in it. If you send us feedback, we may use it without obligation to you.

The Service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that the Service will be uninterrupted or error-free. Fueling records reflect what operators enter; you remain responsible for reviewing records and for your own regulatory and billing obligations.

To the fullest extent the law allows, neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits or revenue.

Our total liability arising out of the Service is capped at the amounts you paid us in the 12 months before the event giving rise to the claim. Nothing in these terms limits liability that cannot be limited by law.

You will defend and indemnify us against claims arising from Customer Data, your use of the Service in breach of these terms, or your violation of law. We will defend and indemnify you against third-party claims that the Service, as provided by us, infringes their intellectual property rights.

We may update these terms. For material changes we will email admins at least 30 days before the new terms take effect and update the date and version at the top of this page. Continued use of the Service after that date means you accept the updated terms.

These terms are governed by the laws of [GOVERNING_LAW_JURISDICTION], and its courts have exclusive jurisdiction over disputes arising from them, except where the law of your place of residence grants you mandatory protections.
