Delivery receipts
Fuel delivery receipts, emailed to your contractors
When a fueler sends a log in, Fuel Relay can email the contractors on it a short receipt for their own fuel: the date, the truck, the Fueler, each unit and the gallons. Receipts are optional and off until you turn them on.
The receipt
What a receipt shows
A receipt covers one contractor on one log. It lists only that contractor's entries, never another customer's, and carries your company's name, logo and color:
- The date and the day or night shift
- The truck, and the Fueler by name
- Each unit or piece of equipment, with its fuel type and gallons
- The total gallons and the number of entries
- The AFE number, when an entry has one
- Whether each fill was signed for, when the log has customer signatures
It has no prices and no fueler code. The subject line is the date, for example "Fuel delivery receipt: Sep 17, 2026", and the footer tells the contractor to ask your company about the fuel.
Sending
When receipts go out
In Settings › Delivery receipts you pick one of three:
- Off. The default. Nothing is emailed, and the contractor emails you saved stay.
- Send only when someone clicks “Email receipt” on a log. Open a log in Fuel logs and press Email receipt when you want one sent.
- Send automatically when a log is sent in. Each contractor with an email gets its receipt as soon as the log is sent in. Only logs sent in after you turn this on, and after you add that contractor's email, are emailed.
A log gets at most one receipt per contractor email, however often the button is pressed. If the log's figures change after that, the contractor gets one corrected receipt that says it replaces the earlier one. Each log in the dashboard shows what happened to its receipts: emailed, waiting, unsubscribed or no email on file.
Contractors
Who gets them
You keep one billing email per contractor. The name is matched to what your fuelers type, so Vantex, VANTEX and "vantex " are one contractor. Contractors without an email get nothing, so you can start with one customer who asked for receipts.
Every receipt has an unsubscribe link. An address that uses it stops getting receipts from your company, even if you add it again. Each company can send at most 500 receipts a day, or 50 for each paid fueler seat if that is more. Any over the limit go out the next day.
Signatures
Optional customer signatures on the log
Customer signatures are a separate switch, also off until you turn it on in Settings › Company. Then the person receiving the fuel can print their name and sign on the fueler's phone, or type their name, for the deliveries at one place, like a paper ticket. One signature covers the fills at that stop.
- Signing never holds up saving an entry or sending a log
- It works with no signal, like the rest of the app
- Signatures show in each log’s details and on printed logs
- A receipt marks each fill “Signed” with the name, or “Not signed”
Receipts and tickets
What it replaces
A receipt is the record a contractor gets for each of your fuelers' logs, without anyone retyping it. It isn't a printed delivery ticket: there is no ticket number and no meter reading. If a customer wants paper, the free fuel delivery ticket template prints two tickets a page. For billing, see fuel delivery invoices. The setup steps are in the help center: emailing delivery receipts.
