Prices and invoices (optional)

Keep a price per gallon for each contractor, then issue, print or void numbered invoices.

Prices and invoices are optional. Fuel Relay can keep a price per gallon for each contractor and make numbered invoice PDFs from your reviewed fuel logs. If you invoice somewhere else, leave this off and use Reports and the billing export or Exporting to QuickBooks Online.

Turn it on and add prices

  1. Go to Settings › Prices & tax and turn on Use prices and invoices. An Invoices page appears in the menu. Nothing changes for your fuelers.
  2. Under Prices, press Add a price: the contractor, the fuel type, the price per gallon and the day it starts.
  3. If you charge tax, set the rate and the name printed on the invoice under Tax. Mark any contractor who doesn’t pay it as Tax exempt.

Make an invoice

  1. On Invoices, press New invoice.
  2. Pick the dates and a contractor. Tick Show AFE numbers if the customer wants them on the invoice.
  3. Check the draft. It takes reviewed fuel logs only, and says above its lines what it left out: fuel still awaiting review, sent back, or already on an invoice.
  4. Press Preview PDF to see it, then Issue. The button shows the number the invoice will get.

Fixing an issued invoice

You can’t edit an issued invoice. Open it, press Void and say why: the reason is printed on it. It stays on record marked void, its number is never used again, and its fuel can go on a new invoice.
